Event Planning Services
How many people can the centre cater for?
Tables and Seating for up to 150
Are the table and chairs inclusive of hire?
Yes, the use of both tables and chairs, are included in the rental cost. These items are kept in the storage room adjoining the function room. It is the hirers responsibility to set up these items for use and to take down and safely store away again (neatly) at the end of the function and before leaving. Failure to do so will mean that KLMC staff will have to be used and these costs will be deducted from the deposit before any refund is made.
What catering facilities are available?
Full catering facilities are offered. For our hirers who require full catering to be provided, we can highly recommend North Norfolk Contemporary Catering who has now started working in our kitchen and are able to provide you with everything from lavish wedding to vibrant street food.

Should you wish to make your own arrangements for catering, or the use of the kitchen in any form, then there is an additional cost to the agreed hire charge of £50.00, This covers the use of the kitchen and its facilities such as cooker, fridge etc. (NOTE Children are not allowed in the kitchen alone without suitable adult supervision.)
What bar facilities are there?
The King’s Lynn Masonic Centre Ltd (KLMC) will provide a stocked and staffed bar for the event booked based upon the numbers you advise will be attending.
In order to facilitate this, you will advise the KLMC of the approximate number attending at least 28 days prior to the event so that sufficient staff can be employed.
A deposit of £50 is required to secure the provision of a bar. This will normally be refunded with the general hire deposit after the event has taken place. However, if the number attending the event is well below the number advised OR the bar operates at a loss after factoring in the bar wage costs, the deposit will be retained by us.
What time does the centre close in the evening?
In order to comply with local licencing and planning requirements music performed/ played on the premises must cease by midnight. The bar (if provided) will close at 11.30pm.
What toilet facilities are there on site?
There are male and female toilets as well including wheelchair access. Baby changing space is present.
What car parking is available?
There is adequate parking for any event.
Does the centre have air conditioning?
Yes, air conditioning is installed in the centre. There is also mood lighting, a PA system and first aid kit including a defibrillator.
Booking T&C’s
What are the payment terms?
In addition to the full hire payment a security deposit of £100 is required to confirm this booking. This sum will be returned to you within 14 days following your hire providing these terms and conditions are met. (e.g.. no damage occurs during your hire, no alcoholic drinks are brought onto the premises without permission, and the premises are left in a clean and tidy condition etc, please see below under cleaning).
Note – you are responsible for the behaviour of all your guests, invitees and contractors on the day of your event. In short anyone in the building apart from our staff or official caterers.
When do I get conformation of my booking?
Booking form contracts must be completed, signed and returned within 14 days of receiving this notification, together with the deposit monies of £100.00.
Non-payment of the deposit or final balance within the agreed time scale will result in the cancellation of the booking.
When do I need to make full payment?
Full payment of the balance is due by a minimum of 4 weeks prior to the date of your booked event. Bookings made less than 4 weeks prior to the event date will require full payment of the hire fee and the security deposit with the booking. Receipt of your payment will be taken as confirmation of your approval and acceptance of these arrangements. ALL prices quoted are inclusive of VAT at 20%. In the event of changes to the VAT rate the KLMC reserves the right to make an appropriate adjustment to the hire charge.
What are the costs in the event of a cancellation??
If you cancel or a change a confirmed booking, cancellation charges will be applied as per the scale shown below. You will be required to pay the following percentage of the total hire charges as set out in the general booking form contract, in addition to the loss of any deposit monies paid.

KLMC’s Rules
Use of party banners etc.
We do not allow ANY item to be fixed onto the walls or ceiling. The use of Sellotape, double sided tape or blue tac, which causes damage to the surfaces will result in your deposit being lost!
(Eyelets are provided around the room to fix decorations onto.)
Note we do not allow large amounts of confetti or any coloured foil
Cleanliness
At the end of the hire period the hirer must provide their own bin liners and remove all rubbish and decorations brought in. If not using our caterers, the hirer must also remove all food and plates/cutlery etc (if disposable) into bin liners and then deposit them into the blue general refuse bin situated outside rear passage.
The hall should be left in a good (clean) condition. If there is any damage or staining to the floor, walls or curtains this will unfortunately result in the loss of your deposit (please refer to the DEPOSIT section).
Hirer responsibilities
The hirer is responsible for the supervision of the premises, including contents, and for any damage during the period of hire or resulting from action during that period, The hirer is also responsible for the behaviour of all and any persons using the premises, in whatever capacity, during that period. This also includes correct and proper supervision of all car park arrangements. The hirer is also responsible for all health and safety issues during the period of hire, including the action required in the event of the fire alarm sounding; the instructions of which are clearly displayed to the side of both fire exits in the function room. The hirer is responsible for ensuring that all third-party contractors work diligently to conduct their business in full compliance with all applicable laws, rules and regulations that govern the jurisdictions in which they do business.
We ask all hirers to be considerate to our neighbours, especially when leaving at night
KMLC Ltd
Neither the KLMC Ltd or its staff are responsible for injury, no matter how caused, including that resulting in death; damage to, or loss of property within the Centre premises or car park; including cars parked thereon.
(All property belonging to the hirer MUST BE REMOVED after the function).
The premises is covered by a fire alarm and security system. This includes the use of CCTV monitoring equipment for the safety and security of all users of the premises. The KLMC Ltd reserve the rights to retain and use any recorded images as required for these purposes.

As with all public buildings there is a strict no smoking or vaping policy within the building or entranceways. There are disposable cigarette bins outside the entrance door, and these are to be used (not the ground please).

We regret we are unable to take bookings for 13 to 17 year old parties . 18 to 21 parties must have door supervision provided at the hirers own expense . CCTV is in use at the centre for the purposes of user safety and crime prevention.
